What this notice covers
This notice covers:
- Visitors to betterranking.co.uk and related marketing pages.
- People who contact us or engage us for SEO and related services.
- Authorised users of the Better Ranking operations platform at admin.betterranking.co.uk, including Google API connections used to deliver those tools.
What information we collect
- Contact details such as name, email address, phone number and business details.
- Website and marketing information you provide when requesting an SEO diagnosis or proposal.
- Technical and usage data such as browser type, device information, referral source and pages viewed.
- Project, billing and service-delivery information where you become a client.
- Account and authentication details for authorised operations platform users (for example email address used to sign in).
- Google account connection tokens and Google API data you authorise us to access (Search Console performance and Google Ads Keyword Planner metrics) — see Google user data below.
Operations platform
The operations platform is an internal tool only, used exclusively by authorised Better Ranking / Umbrella Rank Ltd staff. It is not a public consumer product and is not available for general signup. Modules may include Search Console project overview, keyword tracking (including Keyword Planner search-volume estimates), communications (lead inbox / delivery outbox), and research/extraction tools. A public description of the product is on our operations page.
Access is restricted to approved staff accounts at admin.betterranking.co.uk.
Google user data
Where you connect a Google account to the operations platform, we may request access to Google APIs such as:
- Google Search Console API (read-only scope
webmasters.readonly) — Search Console properties you can access, and performance metrics such as clicks, impressions, CTR, position, queries, and pages. - Google Ads API (scope
adwords) — Keyword Planner historical metrics used to estimate search volumes, competition, and related bid ranges for keywords you manage in the Keyword Tracker. We use this to look up keyword metrics for authorised users; we do not use it to create, edit, or manage Google Ads campaigns on your behalf from this platform. - Your Google account email / profile identifiers needed for OAuth.
- OAuth access and refresh tokens required to keep the connection working until you disconnect.
How we use Google user data. We use Google user data only to provide and improve the operations features you use (for example showing Search Console performance for properties you manage, and Keyword Planner search-volume estimates in the Keyword Tracker), to maintain security and prevent abuse, and to comply with law. We do not sell Google user data. We do not use Google user data for advertising. We do not use Google user data to train generalised AI / ML models. Human access is limited to authorised personnel who need it to operate, support, or secure the platform.
These practices are intended to comply with the Google API Services User Data Policy, including the Limited Use requirements.
Storage and retention. Tokens and cached metrics are stored on secured infrastructure used to run the platform. We retain Google-derived data only as long as needed to provide the connected features, for security/audit needs, or as required by law. When you disconnect Google access or request deletion, we delete or anonymise associated tokens and cached Google user data within a reasonable period, except where we must retain records for legal compliance.
Your controls. You can revoke the platform's access at any time in Google Account → Third-party access. You may also contact us to request deletion of stored connection data.
How we use your information
- To respond to enquiries and provide requested diagnoses, proposals and services.
- To communicate about projects, billing, support and service delivery.
- To operate the operations platform for authorised users, including Google-connected features described above.
- To improve our website, user experience and service quality.
- To comply with legal, regulatory and contractual obligations.
Lawful bases
We process personal data where necessary for legitimate interests, to take steps at your request before entering into a contract, to perform a contract, to comply with legal obligations, or where consent applies (including where Google account connection is based on your consent / authorisation via OAuth).
How long we keep data
We keep personal information only for as long as necessary for the purposes for which it was collected, including legal, accounting, reporting and contractual requirements. Google connection and performance data follow the retention approach in Google user data.
Your rights
Depending on applicable law, you may have rights to access, correct, erase, restrict, object to or transfer your personal data, and to withdraw consent where processing relies on consent. For Google connections, you can also revoke access in your Google Account as described above.
Security
We take reasonable technical and organisational steps to protect personal data from unauthorised access, loss, misuse or disclosure, including restricting operations platform access to authorised users and protecting OAuth credentials.

We may update this notice from time to time. Any material changes will be reflected on this page with an updated date.
